How can I register on CheMondis?

To register, you need to sign up your company as well as at least one individual user. Later, more individual users can be added under the same company.

First, you register an individual account with the user's name, email and a password (phone number is optional).

Then, you register your company with the company's name, address and VAT number. Please note that each company can only be registered once as a buyer and once as a supplier.

Which companies are able to register on CheMondis?

CheMondis is a digital marketplace for the chemical industry, starting off in the European market. However, we do welcome any international company that comply with European and International regulations.

To assure a high quality of all market participants, we verify that each newly registered user/company has a legitimate interest in either supplying or buying chemical products.

Can I register as buyer and supplier at the same time?

Your company can use CheMondis to both buy and sell chemical products.

However, to comply with anti-trust law, two separate accounts are required: one buyer account and one seller account. The accounts must be assigned to different people inside your organization.

It is not possible to register the same user as both buyer and supplier.

What are Instant Deals?

An Instant Deal is the direct purchasing option on CheMondis. Product availability, price and available packaging sizes are displayed on the marketplace for potential buyers. This way they can take immediate purchasing decisions.

For you as a seller Instant Deals might offer more attractive margins.Shipment should happen as soon as possible as lead time should not exceed 5 business days.

The incoterm for Instant Deal is always EXW.

What are Quote Requests?

A Quote Request allows an individual negotiation of the incoterm, price and delivery date between you and the buyer.

Instead of directly purchasing via Instant Deal, your buyer gets in touch with you via messaging and individually negotiates the purchasing terms. This can also include long-term agreements consisting of multiple shipments.

What happens after I register?

After any registration, the CheMondis team personally verifies each newly registered company to ensure that the CheMondis marketplace is a trusted environment with trustable users and companies.

We perform a basic background check with the help of public registers and check for any known compliance issues in the past.

After the verification process (usually 1-3 business days) CheMondis will inform you and your account will be fully activated to perform transactions on the marketplace.

How can I change my address or my company information?

It is crucial that your company data is always up to date, so that buying and selling on CheMondis runs smoothly. You can update this information in our administration tool.

How do I use the filter and search functions?

There are currently three possible ways to search for products on CheMondis. (1) The search bar, (2) by industries and (3) by product groups. All approaches can be used individually or combined.

Where do I find my VAT ID?

Every company registered in Europe has a unique value added tax (VAT) identification number. You can find it on the tax statement, or you can call the tax authorities.

What can I do if I cannot find the product that I am looking for?

We are working hard to expand our product listings on CheMondis as fast as possible. If you are looking for a product, which is not yet listed on the marketplace, please get in touch with our chemical product management team via support@chemondis.com.

We will do our best to find appropriate alternative suppliers for you and list their products as soon as possible.

Do I have to enter prices for my products?

No, prices are not mandatory, and you can also upload products without a price.

However, your product will not be available for buyers via Instant Deal then and can only be sold via individual Quote Requests, usually with smaller margins.

In any case we strongly advise you to enter information about the availability of the product, since this might determine whether your potential new customers request a quote or not.

When should I use Instant Deals or Quote Request?

We generally advise you to use both the Instant Deal and the Quote Requests.

The Instant Deal is a good tool to show customers that your product is available, to give price and packaging indications and to give customers who need immediate shipment the opportunity to perform a purchase without further interactions.

The Quote Request is used by customers when they want to change Incoterms, negotiate prices and have other questions.

How do I list my products?

You can take all necessary steps to list your products on CheMondis in the administration tool. To directly go to the administration tool, you can log in here.

Who can see my product availabilities?

Only registered and verified buyers can see the price and availability of your products. Other suppliers can only see availabilities, but no prices.

Who can see my product information?

The information about your product on the product detail page is publicly available. This does not include the technical and safety data sheet, but all other product information, as well as your company information.

How do I make sure that as many buyers as possible are able to find my product?

There are two important factors:

1. Make sure that you link your product to relevant industries and product groups.
2.Fill out the product description with care. Make sure that all relevant information is included.

My products can only be sold to specific countries. How can I restrict delivery countries?

CheMondis offers a special setting for this. In the administration tool in the “Products” section you can specify which countries your products can be sold to.

This information will be visible on your product detail page as well.

Can I provide individual discounts to my established customers?

This is not yet possible with our Instant Deal feature, since all registered buyers see the same prices.

However, your customer can always use the Quote Request feature to request special prices.

Can other marketplace participants see transaction details?

No. The details of your transaction are only visible to you and the buyer.

How can I cancel orders?

The cancellation policy depends on the underlying terms and conditions of the contract. If you need to cancel an order, you can either directly contact your buyer or the CheMondis Team.

Cancellations are subject to the supplier’s acceptance and can only be triggered by CheMondis Support.

How can I change/deny payment terms requested by customer?

If a purchaser is requesting a payment term which you cannot or do not want to offer, please get in touch with the customer directly.

You can upload any documentation of changes made to the agreement in the status dashboard of the order.

Do I need to guarantee availability?

For Instant Deals you need to guarantee the availability of your offered quantity. CheMondis will update the available quantity automatically when an order has been made.

For Quote Requests it is your choice which delivery date you accept for the requested product and quantity.

How long is the target lead time?

For Instant Deals we are asking you to ship the products within up to 5 business days.

For Quote Requests it is your choice which delivery date you accept for the requested product and quantity.

Can I individually fix a delivery date with my customer?

Quote Request: Yes, the customer will request a delivery date in the corresponding field. You can then either confirm or provide another delivery date proposal that the buyer can accept or further discuss with you.

Instant Deal: The order usually ships within a few days of ordering as all quantities have to be available in stock. However, the buyer can leave a comment on your order requesting for a later delivery. Since this is non-binding, the buyer is asked to use the Quote Request for orders with later than immediate shipment.

Which Incoterms apply on CheMondis?

For Instant Deals the incoterm® is always EXW.

For quote requests please use the messaging feature to agree on any incoterm® with your buyer.e buyer can accept or further discuss with you.

How are shipping costs calculated on CheMondis?

Instant Deals: Logistic costs are automatically calculated and added to the grand total by CheMondis. The logistic costs are calculated based on the country zone (origin) and the weight range of a shipment. The zones, included countries and weight ranges can be changed at any time in the CheMondis Supplier Admin Module.

Quote Requests: Please provide a price offer for the customer in accordance with the incoterm, including all logistics costs, if applicable.

How can I upload or exchange documents with my customers?

Within the order detail page, you are able to upload any document which the buyer might request or you might want to share. Of course, you are also able to see documents uploaded by the buyer, too.

In which language do I have to upload my safety data sheet?

Please upload your MSDS in English. If this is not possible, get in touch with our chemical product management via support@chemondis.com and we can search for other solutions.

Why do I not receive notifications when a new order or quote comes in?

When a new order, quote or offer comes in, all admin users of the company are notified by e-mail. As soon as users are assigned to a particular order or quote request, they are notified for all changes. In this case, the admin, unless assigned to the quote as well, does not receive notifications anymore.

If you do not receive the notifications, which you are expecting to receive, either make sure to be assigned to the respective order or become an admin of your company.

How can I change the admin user of my company?

When you go to the CheMondis administration tool, please select users and you will see all users currently registered for your company. As an admin user you can then add new usersor change the role of existing users to admin.

In which language do I have to upload my safety data sheet?

Which product information does CheMondis provide?

CheMondis provides all legally required information about a product and more. Any product detail page contains the technical and safety date of the respective product, REACH and CAS number, manufacturer, shipment countries and more.

Also, every supplier can enter a product description. Next to the information about the product, most product detail pages also contain pricing and availability of the product.

How can I buy several products at once?

When buying via Instant Deal, you can add as many products as you like to your cart and then proceed to the checkout. If they are sold by different suppliers, they will be split during the checkout process. You can then also decide to have each order delivered to different premises.

For the Quote Request function, you can currently only send individual requests per product. We are working on combining a request for several products offered by the same supplier.

How can I cancel my order?

The cancellation policy depends on the underlying terms and conditions of the contract. If you need to cancel an order, you can either directly contact your supplier or the CheMondis Team.

Cancellations are subject to the supplier’s acceptance and can only be triggered by CheMondis Support.

Where can I see my orders?

CheMondis stores all your previous orders for you to provide you with full transparency and to facilitate repeat purchases. You can find all past orders in the menu under “my orders”.

Can other marketplace participants see transaction details?

No. The details of your transaction are only visible to you and your supplier.

Who is my contract partner?

Your supplier. CheMondis is an intermediary platform with the purpose of connecting buyers and suppliers. CheMondis is not involved in negotiations or contracts closed on the marketplace, however.

How can I exchange documents with my supplier?

Within the order detail page, you are able to upload any document the seller might request or which you want to share. Of course, you are also able to see documents uploaded by the supplier, as well.

How can I get in touch with my supplier in case of questions?

During negotiations, messaging is the easiest way to get in touch with your supplier. After closing a negotiation or performing an Instant Deal, you can retrieve the supplier’s contact information from the order dashboard under addresses.

Why cannot I see prices for all available products?

In some rare cases suppliers decide to not display prices. You can then only use the Quote Request function to purchase the product.

What can I do, if I cannot find the product that I am looking for?

CheMondis is still expanding. Therefore, it might occasionally happen that the product you are looking for is not yet listed on the marketplace.

In those cases, please reach out to our chemical product management team via support@chemondis.com. We will try our best to find suitable suppliers for you.

How can I request a sample?

If you wish to request a sample before ordering a large quantity, you can also do it via CheMondis. When you have found the product you want to sample, go to the product detail page by clicking on the product name. Then you will find the orange button “Request Quote or Sample”. After clicking on this button, the quote request and sample window will appear.

Please fill in all the mandatory fields that are marked with an asterisk, so e.g. enter 1 g (Gram) into the field of the order quantity and select your delivery address, as well as the desired incoterm.

After these fields are filled, you can request a sample by asking for it in the message field located at the bottom of the interface. In your message you should include the total quantity you need of this product and then indicate that you first want to receive a sample before ordering larger quantity. As soon as you have clicked on “Request”, the supplier will receive a notification, and will get back to you as quickly as possible.

As soon as you have received and tested the sample, you can then make a new quote request with the actual quantity you need.

How can I change my address or my company information?

It is very important that your company information including all addresses is always up to date. You can change in the “company” page in the administration tool.

We also prepared a short video tutorial which you can follow step by step, for both buyers and suppliers, which are located at the bottom of this page.

Where can I, as a buyer, define where the products should be shipped to?

You can add as many shipping addresses as you like. We advise you to do this before purchasing or uploading the first product. When buying chemicals on CheMondis it is also possible to add a new shipping address in the checkout process.

Where can I delete my account?

If you want to delete your account, please get in touch with our support team via support@chemondis.com.

How can I register more users from my company?

You can easily invite more users from your company. Please note, that they will also have the same account type (buyer or supplier) which you chose for your company.

You can add more users of your account type in the administration tool in the “user” page. If you work in sales but your colleagues want to join CheMondis for purchasing, they need to register a separate buyer company.

Why did CheMondis not validate my registration?

Upon registration CheMondis performs a company background check. During this check our team validates whether your company has a legitimate interest in supplying or purchasing chemical products.

If this interest cannot be verified during our company background check or open questions do not get answered, the CheMondis team might decide to not validate your registration and will inform you accordingly.

If you feel that this decision is unjustified you can always inform us and proof your interest in supplying or purchasing chemical products. We are happy to review denied verifications if proper documentation is provided.

While CheMondis cannot assume any responsibility for supplier compliance, we only accept suppliers with a verified address and VAT number.

Moreover, every company signing up as a buyer on CheMondis is checked against 500+ blacklists including any known trade sanction breaches, AML breaches or terrorism financing cases.

How does CheMondis ensure buyer compliance?

While CheMondis cannot assume any responsibility for buyer compliance, we only accept buyers with a verified address and VAT number.

Moreover, every company signing up as a buyer on CheMondis is checked against 500+ blacklists including any known trade sanction breaches, AML breaches or terrorism financing cases.

Are availabilities real-time?

Availabilities are entered by suppliers and represent quantities which are reserved for sales on CheMondis via Instant Deal. The availability is automatically reduced by quantities sold via CheMondis Instant Deal.

How does CheMondis make sure that all listed products are compliant?

To ensure high quality standards and regulatory compliance with EU norms, we ask suppliers to provide REACH compliant material safety data sheets for every product listed on CheMondis.

Additionally, further information such as technical data sheets, descriptions, catalogue information and company certificates must be given to have everything a buyer needs to place an order in one place.

How does Chemondis make sure that product Information on the marketplace is accurate?

We have a team of chemical experts who constantly check uploaded products and evaluate the quality of the information provided. If they notice that something is missing or misleading, they will get in touch with the respective supplier and help to improve the information.

What payment methods are available on CheMondis?

Payment happens directly between buyer and supplier based on the payment information provided on your invoice (usually bank transfer).

Which payment terms apply for my orders/my sales on Chemondis?

During the order process buyers can either request payment after shipment or decide to pay in advance. The seller has the freedom to accept or deny this request.

The legally binding payment terms are indicated in the invoice. For payment in advance a proforma invoice needs to be provided before shipment. This can be done by document upload on the order detail page after the order is sent.

When will my orders be delivered?

For Instant Deals, shipment happens as soon as possible, and lead time should not exceed 5 business days. The Incoterm for Instant Deals is always EXW.

For Quote Requests you individually agree on the shipment terms and dates with your trading partner.

How can I change my shipping address?

You can add as many shipping addresses as you want in the administration tool under “Companies / Addresses”.

During the checkout process you can then select the shipping address, which you want to use for this order. As a supplier you indicate in the product section from where your product is shipped.

Which incoterm applies on CheMondis?

Incoterms® (2010):

How can I, as a supplier, change/deny payment terms requested by customer?

Does CheMondis charge transaction fees?
